Privacy Policy - AMPS Space App

1. Introduction
This Privacy Policy explains how we collect, use, disclose, and protect the personal information of employees and users ("you") when you use our AMPS Space App ("App"). By using the App, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
We collect the following categories of data to provide attendance features and to ensure accurate verification:
Location data (GPS): The App collects your device's approximate and/or precise location when you mark attendance to verify where the attendance action occurred.
Camera / Photo: The App allows the user to manually capture a photo of the surrounding environment (not a selfie) when marking attendance, to help verify the location and prevent spoofing.
Device information: Device model, OS version, unique device identifiers, and app version for diagnostics and support.
Usage data: Timestamps of attendance events, and other non-identifying analytics for improving the App.
3. Why We Collect This Information
The information collected is used for the following purposes:
Attendance verification: To confirm that the correct employee marked attendance at the expected location and time.
Security and fraud prevention: To detect and prevent unauthorized attendance marking or tampering.
App improvement and support: To diagnose issues, monitor usage and improve features.
4. How We Use Location and Camera Access
Location and camera access are integral to the App's core functionality. We request these permissions only when necessary and explain their use at the point of request.
Location:
• The App requests location permission to capture the GPS coordinates when you press the "Mark Attendance" button.
• Location is used only for attendance verification and is not used for employee tracking outside attendance actions unless explicitly stated and consented by your organization.
Camera / Photo:
• The App requests camera permission to take a photo during attendance marking.
• Photos are used to verify identity and may be stored only for the retention period described in Section 7.
5. Where We Store Data
Attendance data, location coordinates and photos may be stored locally on the device and/or transmitted to our secure servers. Storage and transmission follow reasonable technical safeguards such as encryption in transit (HTTPS) and at rest where applicable.
6. Who Can Access the Data
Access to personal data is limited to authorized personnel of your organization (for example: HR, Managers) and our technical staff who need access to provide, maintain, or secure the App. We do not sell personal information to third parties.
7. Data Retention
We retain attendance records, location coordinates and photos for as long as necessary to fulfill the purposes described in this Policy or as required by law or your organization's data retention policies. If you would like to request deletion, see Section 10.
8. Legal Basis and Consent
By using the App and granting requested permissions, you provide consent for the collection and use of data as described. Your organization may also rely on legitimate interests or legal compliance for processing attendance records, depending on local law.
9. Security
We implement industry standard measures to protect personal information against unauthorized access, alteration, disclosure, or destruction. However, no system is completely secure; if a security breach occurs, we will follow applicable laws and notify affected parties as required.
10. Your Rights
Depending on your jurisdiction and company policies, you may have rights including:
Access to the personal data we hold about you.
Request correction of inaccurate information.
Request deletion of your personal data (subject to legal or business retention requirements).
Withdraw consent to processing that is based on consent.
11. Third-Party Services
The App may use third-party services (for example: cloud hosting providers, analytics providers) that process data on our behalf. These providers are contractually required to protect data and process it only for the purposes we specify.
12. Children
The App is intended for use by employees and not by children under the age of 16 (or a different age where local law sets a higher threshold). We do not knowingly collect personal information from children. If you believe we have collected data from a child, contact us using the details below.

We may update this Policy to reflect changes in our practices or legal obligations. We will notify users of material changes through the App or via other reasonable means.
